Privacy Policy

Topline provides software for field service teams to work with operational data, dashboards, workflows, and assistant-driven actions. This policy explains what information we process when organizations use Topline, including the Topline Google Chat app.
Information We Process
Depending on how an organization configures Topline, we may process:
- Account information, such as name, email address, organization, role, and sign-in metadata.
- Google Chat information, such as messages sent to the Topline app, user email addresses, space IDs, thread IDs, and interaction events.
- Workspace content that a customer authorizes or shares with Topline, such as Google Sheets, Drive files, Chat history, and related metadata.
- Operational data connected by the customer, such as CRM, scheduling, telephony, billing, route, and support-system records.
- Usage, diagnostic, audit, security, and performance logs.
How We Use Information
We use information to provide, secure, monitor, support, and improve Topline. This includes answering user requests, running customer-approved workflows, generating dashboards, syncing authorized data sources, troubleshooting issues, and preventing abuse.
Google User Data
Topline uses Google user data only to provide and improve user-facing features that customers enable. We do not sell Google user data, use it for advertising, or transfer it except as needed to provide Topline, comply with law, protect rights and security, or with the customer's direction.
Topline accesses Google Workspace data through the permissions configured by the customer or by Topline-owned service accounts for authorized Workspace integrations. Customers control which spaces, files, sheets, and accounts are made available to Topline.
Sharing and Subprocessors
We may share information with service providers that help us operate Topline, such as cloud hosting, database, observability, security, and AI infrastructure providers. These providers process data for Topline under contractual restrictions.
Retention
We retain information for as long as needed to provide Topline, meet security and audit needs, comply with legal obligations, resolve disputes, and enforce agreements. Customers may request deletion or export of their data subject to contractual, legal, and security limits.
Security
We use administrative, technical, and organizational safeguards designed to protect customer data. No system is perfectly secure, but we work to limit access, audit sensitive actions, and protect credentials and connected systems.
Customer Controls
Customer administrators control access to Topline, connected data sources, Workspace sharing, Google Chat app installation, and user permissions. Users should contact their organization administrator for access, correction, or deletion requests involving customer-managed data.
